Job Description – Role: Production Manager (part-time)

Responsible to: Executive Director

Responsible for: TOY Production & Facility Operations

Key Relationships: Stage Manager, FOH Manager

About the Position: Reporting to the Executive Director, the successful candidate will be responsible for supervision of all overarching production aspects of Theatre of Youth’s productions, special events, and building operations. This position is ideal for a highly organized, detail oriented, and independent individual with a passion for the performing arts and a knowledge of theatre industry trends and best practices. Current season structure includes three mainstage season production.

Responsibilities: Production & Facility Operations

  • In conjunction with the Artistic and Executive Directors estimate production budgets for the season
  • Manage and track production expenses 
  • Monitor all production expenses in a timely fashion and informing the Executive Director of the status of production budgets on a regular basis 
  • Acquire technical equipment, either by lease or purchase, in consultation with the Executive Director 
  • Arrange for adequate, dry, clean and safe storage of sets, props, costumes, and other production elements 
  • Ensure that all technical equipment is maintained in good working order 
  • Manage and prepare rental contracts for TOY 
  • Assist the Executive Director with technical elements of Special Events 
  • Engage all programming and craftspeople in consultation with the Executive Director 
  • Supervise all stage management, technicians and craftspeople, including the provision and monitoring of budgets and expenses
  • Coordinate and supervise all production meetings 
  • Keep detailed documentation of all production activities, including final prompt scripts, receipts, financial reports, copies of agreements, invoices, etc. 
  • Oversee and manage facility-related activities including, but not limited to: 
    • conducting minor repairs and routine maintenance to facility systems and fixtures
    • working with TOY management and service vendors to complete facility maintenance diagnostics, and develop on-going preventative and long-term facility maintenance plans 
    • conduct or contract facility systems, fixtures and equipment repairs and replacements as required 
    • oversee and document in-house inspections for life-safety systems (ie. fire alarms, sprinkler systems, emergency lighting, security systems) and coordinating life-safety vendor services to ensure all regulatory requirements are met 
  • Conduct tasks related to the maintenance of TOY’s premises (including the Allendale Theatre and shop storage facility) 
  • Other duties as required/assigned

Person Specification:

Essential

  • Experience in various production disciplines, including carpentry, rigging, sewing, lighting, sound, and projections.
  • Practical skills and experience in managing premises and facilities operations, in a public venue, including supervising a team
  • Practical skills and experience of managing maintenance and external supplier contracts
  • Demonstrable knowledge and experience of Health & Safety legislation policies and practice
  • Experience of setting and managing budgets and financial projections to ensure best use of resources through prioritization and planning
  • Good mechanical and electrical aptitude
  • Ability to negotiate and influence internal and external stakeholders
  • Good time management skills and ability to multi-task
  • Excellent IT skills, including knowledge of MS Windows, Word, Excel, and PowerPoint
  • Good written and verbal communication skills
  • Excellent organizational and administrative skills, with the ability to prioritize workload
  • Excellent customer care skills
  • Collaborative, with the proven ability to lead, manage and motivate people
  • Creative thinking, problem solving, initiative and flexibility

Desirable

  • Fluency in Vectorworks (or other CAD software.), QLab

Terms & Conditions

Salary: $20,000 part-time

Hours: 12-20 hours per week, on a flexible schedule including early morning, evenings and weekends depending on the programming needs of the business

Overtime: No overtime payments are available

Holiday: Flexible PTO, plus 11 public holidays

Probation: This post is subject to a three-month probationary period
